Dear IEEE802.3aq,

I have had some enquiries about the structure of the June meeting. I thought it best to send a response to the reflector.

We have the meeting room available as follows:

Tuesday  14th June: 	0800 hrs - 1800 hrs
Wednesday 5th June:	0800 hrs - 2130 hrs
Thursday 16th June:	0800 hrs - 1800 hrs

The room is not available outside these hours.

Given the number and complexity of the comments that we need to resolve I plan to meet for three full days of comment review. 

I plan to start the meeting each day at 0830 hrs to give the people in the overflow hotel time to get to the meeting hotel.  Although the hotels are quite close to each other they are on opposite sides of the Thames. The simplest method of going between the hotels is taxis but the London underground can be used too.  I've been told the taxis fare is between 5 and 10 pounds. So the taxis works out quite cheap if a few people share one. 

Tuesday 14th: 
0800 Collect name badges
0830 Start meeting
1000 Morning break with hot drinks and biscuits
1230 break for lunch
1400 hrs Comment review
1530 hrs Break with hot/cold drinks and biscuits
1800 hrs Stop for day

Wednesday 15th: 
0830 Start meeting
1000 Morning break with hot drinks and biscuits
1230 break for lunch
1400 hrs Comment review
1530 hrs Break with hot/cold drinks and biscuits
1800 hrs Break for meal
1900 hrs Comment review or ad hoc meetings
2130 hrs Stop for day

Thursday 16th:
0830 Start meeting
1000 Morning break with hot drinks and biscuits
1230 break for lunch
1400 hrs Comment review
1530 hrs Break with hot/cold drinks and biscuits
1800 hrs Stop for day

Presentations

I am not requesting general presentations for this meeting. If individuals or groups have general material that they want the group to be aware of send it Piers Dawe for upload to the Taskforce materials area of the website. Once it's uploaded send a message to the reflector telling people its there.  This material will not be presented at the meeting.  

However, I will accept presentations summarizing the recommended responses from groups or individuals that were given comments to study during the May meeting. These presentations will be given when we get to the appropriate set of comments in the comment review process as determined by our editor. 

If possible a draft of the recommendations should be submitted by our normal method for presentations as follows:

with the following amendments.  Submissions received after the deadline, Wednesday 8th May 2005.  Presenters please be sure to complete the PDF document information fields per the procedures for presenters.

But, since it is understood that the comment resolution groups may still be working on their responses right up to the last minute, the presentations can be brought to the meeting and distributed on a memory stick during the opening session on Tuesday the 14th June.
