[802.3_ISAAC] March meeting minutes



Dear Task Force Chair,

I’m writing regarding the unapproved minutes from the March 2025 IEEE 802.3dm meeting. As these minutes were not published within the required 45-day window (per Section 3.4.3 of the Operations Manual), I regret that my feedback is arriving rather close to the upcoming meeting. I hope the details below are sufficient for a thorough review and any necessary corrections.
Observations:

  1.  Agenda Revision Discrepancy
Section 3.4.3(c)(3) of the Operations Manual requires that meeting minutes include the agenda as revised at the start of the meeting.
     *   The minutes currently link to agenda revision 01b<https://www.ieee802.org/3/dm/public/0325/agenda_3dm_01b_0325.pdf>, while the March plenary webpage<https://www.ieee802.org/3/dm/public/0325/index.html> displays revision 01c<https://www.ieee802.org/3/dm/public/0325/agenda_3dm_01c_0325.pdf>.
     *   Revision 01c was not the actual agenda approved by the Task Force at the start of the meeting. It was created towards the end of the meeting rather than the start of the meeting. An agenda cannot be created at the end of the meeting. It must be created at the start of the meeting.
     *   Notably, revision 01c includes a “Path Forward” slide that was not part of the approved agenda (rev 01b).
  2.  Implications of Including the “Path Forward” Slide
The presence of this slide in the prominently visible agenda may give the impression that the proposal was unanimously approved by the Task Force, which is not accurate.
     *   As I recall, you presented the “Path Forward” slide during the final hours of the meeting as a Proposal by the Chair.
     *   No straw poll or motion was conducted regarding this slide.  The unapproved minutes do not mention any poll.
Request for Correction:
To maintain clarity and procedural accuracy, “Path Forward” slide needs to be removed from the agenda deck and instead published separately as a “Contribution” by Chair in the presentations section of the website.

Additional Note:
The minutes and your slide also reference multiple parallel “drafts.” As noted in my email to the reflector dated July 19, 2025, this terminology is inaccurate. These should be referred to as “proposals,” and I kindly ask that the terminology be corrected accordingly.
