[802.3_OMEGA] Fwd: [802SEC] hotel cancellations



Colleagues:

Many that planned to attend the Atlanta meeting as noted below automatically had their reservation cancellation, I received my hotel cancellation also on Friday with no action on my part.  Perhaps you have also.  If you did not make your reservation on the meeting hotel web site, you will need to cancel your reservation yourself.  Please read the message below for more information on the hotel refund.

Meeting registration refunds (presumably including payment made at the same time for the social) will take additional time but will also happen with no action on your part unless you are contacted by the meeting planners.

Any other reservation you made (car rental, etc.) you will need to handle.

All – I have the following confirmation and explanation (which some of you may have gotten separately):

While we were preparing the statement for the cancellation, we expected we would have a new link and some steps to cancel the hotel reservations.
Then when we were working with the Hotel, they said that they could make it easy to cancel in bulk and not have to have all the phone calls to cancel the reservations.

Cancellation emails from the hotel started going out Friday, the email should include the text from the cancellation notice. If you note, the email from them includes the text from the Cancellation notice, and say something like:
“This is a record of your hotel reservation cancellation for the March 2020 IEEE 802 Plenary Session cancelled on Mar 6, 2020. Your Cancellation Number is XXXXXX-YYYYY. Please retain this number as evidence of cancellation”
 
Hotel Cancellations and the Meeting Registrations Cancellations will be processed with minimal/no effort on the part of the participants.
 
Thank you for your patience.  You may advise your participants that if they received such a cancellation notice form the hotel, with a cancellation number, their hotel reservation has been has been cancelled for them.  (if they did not receive such a notice, they should cancel their own reservation)

FYI – it looks like the hotel is taking care of cancellations, at least for people who booked through the meeting website.  I am currently in the process of confirming this.  It may cause some confusion among our participants, since we told them they were responsible for their own cancellations.
When we get confirmation that this is the case, we will let you know.
